Tools \ Random Audits

There are many instances when an Administrator may want to create a Random Audit. Perhaps a Superior wants one, or one may need to be created for accreditation purposes.

From the Nav Menu on the left-hand side of the screen, select the Tools icon (it looks like a wrench), then from the menu select Random Audits.
You are now on the Random Audits screen.


After clicking New Report, you will see the Create Random Audit screen.

After giving your Random Audit Report a Required Name, you may select an Item Category or Select Items from all categories.
Select a Storage Location where the Items are located (which is not required).
You may choose to Include Sublocations and/or Include Items in Container(s).
You may also choose the Status of the Items you wish to Audit.
By default, Checked In, Checked Out, and Disposed are all selected. However, you will most likely only want to select Checked In.
Finally, choose a Subset Type and the Percentage or Number of Items you wish to Audit.
A Random Audit may only contain a maximum number of 1000 Items, etc.

In the example below, we have chosen 5 Items for our Random Audit.

You may select categories by placing a checkmark in the appropriate boxes if requirements have been satisfied such as if an Item was Found in Under 5 Minutes etc.
This is not required.

After you've completed scanning all of your Items, you may select Run Report. A report will then be generated in much the same way a Discrepancy Report is generated.
This report will show you if any Discrepancies have been found in your Audit.
You may print this report and use it as a checklist to fix any Discrepancies that were found.
You may then save the report as a .pdf, print it out, have a Supervisor sign and date it, and put it in a logbook for accreditation.


Alternately, you may leave the report on your screen and click the piece of paper and pencil in the Note column to add Notes as you fix Items.

Upon returning to Nav Menu » Tools \ Random Audits, your Audit results will be shown. Audits may be Hidden, but never Deleted so there will always be a record of what was done.
